Monthly meeting Minutes 23rd Feb 2021 at 19H3

1. WELCOME Wouter welcomed members and guest and expressed condolences to Ed and Wes for their loss in the family.

7. Michelle Bainbridge … Kom ons gaan ry ‘n entjie (14-17 February 2021), Received a coffee cup.

8. PAST RIDES AND EVENTS:
a. 31st Jan 2021 Hemel & Aarde Plaas Kombuise … Geoff gave us a summary of his trip, wonderful venue and breakfast. Great turnout with 37 people in the group riding to breakfast. A small group had not received breakfast by the time Geoff was ready to leave but were soon sorted, apparently, they sat in the wrong place in the restaurant.
b. 14th Feb 2021 Die Eike breakfast ride …. The rain kept some people away but 15 bikes and 3 pillions braved the climate. Carl was sweeper and both Carl and Simon made videos. Wouter interjected with a rumour about an interesting incident that happened to [ride leader] Rouen before the trip and it was caught on Carl’s video. He hoped we would revisit that incident for the Darwin award at the end of the year!

c. 21st Beginners Off road breakfast ride Greyton … Steve Jones gave an account of the off-road breakfast ride. Steve met some new people on his ride, they departed from the B.P. N2 and turned off at Botriver. Stopped and had a chat about tyre pressure and the route. Breakfast was enjoyed at the Wine&Oak Greyton. The group split some went home via the dirt and others went home on the tar.

9. FUTURE RIDES AND EVENTS:

a. 27th/ 28th Feb Lamberts Bay overnight ride … Ian updated us on the bookings for the overnight ride, the group is split into the tar team and dirties [with Geoff] There are approx. 40 people going to enjoy the weekend. Dinner at Muisebos and we will be transported via a school bus.
b. 28th Feb Ysterfontien breakfast ride … David gave a rundown of what to expect on the Westcoast breakfast ride to Ysterfontien, and a visit to the Darling brewery.
c. 7th March Off Road Training Level 1,2 and Pillion at Anura … Arno chatted about the first training of the year and introduced the new members of the training team. Carrel and Theo. He noted the new members on other rides and welcomed them to join in the training. Arno covered what they will cover.
d. 14th March breakfast ride … Wouter mystery breakfast ride. TBA and posted in due time.
e. 28th March breakfast ride Saggy Stone … Carl gave an intro to his proposed breakfast ride on the road to Klapmuts, we will ride via 4 passes.

10. General
a) Announcement of the AGM and read order of business … Rouen announce the AGM and read through the order of business as well as the process for proposals of motions and committee candidates. Explained how voting will proceed if needed and that the notice has been published on the website as per the constitution.
b) Danie GK … harvested pass trip reports and tech tips, to be thanked and explained … Rouen explained that Danie had collected all the old trip report and interesting articles. We thanked Danie for his effort and Rouen will be posting these trip reports etc, occasionally on the new website community section.
c) Club and Ride Leaders reimbursement policy … David summarised the club policy on reimbursements and we keep the key point in mind that the club ride leaders must never be out of pocket. A fixed fee of R2.30/Km and R100.00 for breakfast will be reimbursed. Overnight trips included. This rate covers petrol, servicing and general wear on the motorcycle. Wouter added that there was an oversight on the committee’s behalf that it was not communicated to the ride leaders and the members. This is now corrected and details are posted on the website. The rate will be reviewed by the committee as needed.
The claim form was discussed and David explained accommodations and what could be accepted for club records. Wouter further pointed out that the committee had a responsibility to work with the club’s money in a clear and good governance manner. We have to address questions and follow a fixed process for all to see.
d) Renewal of club membership, due date and progress …. David mentioned yearly subscriptions are due and the max. extension will be end of March, after which a joining fee would apply. 200 members have renewed and 70members have not renewed at this stage. There will be further reminders and that will go out in the newsletter. The system will be generating renewals from next year. Ian gave another update about the website and the problems faced and corrected.

e) Members were asked for suggestions on club ride incentives. As an example, a suggestion by Mike Henderson if a member has done 10 out of a possible 26 breakfast rides, they get a R100 breakfast reimbursement from the club … Wouter spoke about this principle and asked the members to approach the committee with these ideas. Carl spoke about an invited chairman’s ride where the invitees’ breakfast is covered. Ed suggested if you come on a breakfast ride on your birthday, it should be paid for as well.
f) Off-road training days schedule for 2021 and new trainers in the team … Arno mentioned the upcoming dates for training but also some of the other training i.e., GPS, water crossing and sand riding. Scheduled training is approx. 6 weeks apart and other items will be offered as per demand. He thanked past trainers, John Carr, Andy Connell and Charles.

Guest speaker: Jano Roux from CIA shelves and storage gave a 5 min product talk and demonstration on a rack system for storing your helmet and riding gear.
